Driving range closes 7 AM – 9 AM on Thursdays for scheduled maintenance

Board Takes Action on Personnel Matter

The Board took action on the following urgent Personnel matter in executive session.  Adding to the agenda per civil code #4930.The temporary suspension from the Office of Treasurer of Erica Hedlund.

This is a result of the Board of Director’s questions regarding the accuracy of financial reports prepared by director Hedlund as Treasurer.

While the Board of Director’s appreciates her attempt to provide financials in a lucid manner, the reports deviate substantially from the figures reported by our Financial Advisory Committee and Ms. Hedlund was not able to answer questions posed by the Board of Directors related to that issue.

Therefore the Board of Directors agreed it was in the best interests of the association to suspend Ms. Hedlund as Treasurer allowing her up to 90 days to prepare and respond to the board’s concerns.

Ms. Hedlund continues as a Director on the Board.

New Stop Sign at Camino Santa Paula

At the request of residents, the SAC reviewed the need for a new two-way stop at Sun City Blvd and Camino Santa Paula. Upon the recommendation of the SAC, your Board voted to have the Stop sign installed.

This should allow safer pedestrian traffic to cross,  especially to the gym and clubhouse.

Turn off our Sprinklers and Drips!

The CVWD is requiring that customers turn off their sprinklers and drips for 48 hours after the rains.

All residents of SCSH will want to turn off our sprinklers and drips for the next few days to help with the drought. This will help you comply with the 36% reduction mandate.

All communities have a good bit of bickering over our rules and regulations, rooms, landscape, etc. You're never going to find 6,000 people anywhere to agree on anything. So disagreements come with the territory. But the overall goal of any HOA is to have a great community with low HOA fees and that we certainly have that.

Whether we are being highlighted in the Desert Sun for our efforts to deal with the drought, or highlighted as one of the best 55plus communities in the nation, it's pretty clear we have a great place. Look around at other communities in the Coachella Valley -- compare their value and fees to ours. It'll be tough to match!

“Lift, Clean & Place” – Temporary South Course Rule

Beginning May 18, the Men's golf Club Board is putting in place a temporary rule for play on the South Course. All play on the course will be "lift, clean & place" (Preferred lie) on fairways only, no closer to the hole.  This rule will be in effect until the course closes for 5 weeks on September 21.

From May 18 through September, the course will undergo extensive maintenance for the purpose of improving the long term playability of the course.  There may be some disruption to play -- but this work is vital to the improvement of our fairway conditions. Please be tolerant.

We look forward to a much improved course when it reopens on November 1.

New Community Safety Patrol Vehicles

Pictured are two new 2015 Ford Escapes that are now part of our Community Safety Patrol. They have replaced the 2012 Toyota Tacomas as part of our contract agreement with Universal Protection Services, the contract guard service that supplies our gate and patrol personnel here at Sun City Shadow Hills. Several communities here in the Coachella Valley have gone to the Escapes which deliver better fuel mileage than the pickups, and, as a result of U.P.S. working with Ford Motor Company on a national account basis, give us about an $8,000 per year savings over the Tacoma trucks. A good deal all around.

Strategic Plan — What is it?

Do you have something to say about the direction you would like to see our community take in the future? Are you concerned about our property values? Our amenities? Do you have an opinion about professional versus self-management?

The SCSH Community Strategic Plan Committee, Chaired by Joan Dzuro, is looking for your input. The process has already begun (read Joan's most recent update here) -- priorities are being determined. But this will be a process -- so you have time to get involved -- but please do.

The mission of the Committee has been defined as:

"Our mission is to enhance the quality of life in our neighborhood through management of common areas, enforcement of rules and covenants, support of initiatives that strengthen bonds among residents, and investment in capital improvements that benefit the greater good while providing a framework for a high quality of life, promote a strong sense of community in a caring, ethical, innovative and accountable manner.”

What the committee ultimately recommends to your Home Owners Association (HOA) Board -- could affect not only the quality of life here in SCSH, but your pocketbook as well.

Montecito Pool Entrance Gates

The Montecito Pool side entrance gate (closest to HOA office and Bocce Courts) is for staff use only.  Residents and guests must enter through the Fitness Center or the gates located under the covered walkway near the clock tower.

A huge thank you to everyone that came out to the second Strategic Planning session on Friday, April 24, 2015 and shared their thoughts on the community.

The board study session was an opportunity for our community to start the process of planning what we (the residents) want our community to look like five, ten and fifteen years down the road. Some people have said to me, “Why should I care what this place looks like down the road, I probably won’t be alive then.” The reason to care is for the value of your homes for when you or a loved one wants to sell your home, or if your children want to some day live in your home after you are gone. Toward that end the Board is working on a long-term plan, in addition to their daily activities of overseeing the governance of the community on a day-to-day basis.

The board worked on a mission statement – which will guide the objectives in the future. They settled on: “Our mission is to enhance the quality of life in our neighborhood through management of common areas, enforcement of rules and covenants, support of initiatives that strengthen bonds among residents, and investment in capital improvements that benefit the greater good while providing a framework for a high quality of life, promote a strong sense of community in a caring, ethical, innovative and accountable manner.”

Next the board looked at feedback they had received from residents on what they would like the community to look like and these items were placed on charts in the room.

An open forum was held where the residents had an opportunity to comment or ask questions (up to 3 minutes each).

The board then went to the charts and noted which items listed should be a top priority, a second priority and finally low or third priority in consideration for the plan. The results were:

Amenities: Restaurant improvement was #1; adding a second pro-shop and adding a performing arts fixed seat theater were tied for #2.

Financial: EIN Tax ID numbers for clubs was #1; Self-Management was #2

Clubs: Court space/possible viewing stands was #1; storage space was #2; meeting space #3

Communication: Email blasts was #1; Radio Station was #2

Phase III Land: Racket courts was #1; RV storage with solar panels was #2

Santa Rosa Pool is Closed for Expansion Project

The Santa Rosa Pool has closed for the deck expansion project. The pool will reopen June 8.

With a Guess of 9,475 Daily — Resident Ken Foster Wins!

During the month of February, 9,797 vehicles passed through our gates DAILY!

April's question of the month was:

How many vehicles passed through our gates daily, on average, during the month of February.
 
The answer was 9,797 vehicles passed through our gates during the moth of February.  Resident Ken Foster was closest with his guess of 9,475. Great job and congratulations, Ken!  The runner up, resident Rona Yarborough,  guessed 7,500 -- a pretty good guess as well.

274,325 total vehicles came through our gates in February, including those with passes and transponders. 

Quite a  large number for Security to handle -- don't you think?

The board liaisons will then present these to the various committees and at each subsequent strategic planning session a representative from this committee will give the board an update on their progress in researching their assignment. These committees are research only, NO BIDS are allowed to be asked for or received and NO commitments to anyone can be made by the committees. This is informational only for the board.

The next session will be 9:00 am on Monday, June 8th in the ballroom. At that time updates on current projects will be heard and the board will finalize the vision statement for the plan as well.

F&B Announces Summer Hours

Our F&B amenity has announced the new hours for June 1 through October 1, 2015.

These hours are planned based on last year's resident usage patterns and the budget developed by your HOA this year.

The Shadows Restaurant --
Friday 11AM to 8PM. Saturday and Sunday 8AM to 8PM

The Montecito Cafe --
11M - 2PM

South Course Snack Shop --
Daily 6AM to 4PM

Santa Rosa Bistro --
Daily 6M to 4PM

Music to My Ears will continue  each Thursdays at the Montecito Patio or Ballroom and Sundays at the Shadows, 4-6PM

No Non-Golfers nor Pets are Permitted on Golf Courses

According to Section 5.6 of our Rules and Regulation -- Etiquette and Care of the Golf Courses:

-  Dogs (or pets) are not allowed on the golf courses at any time. This includes dogs    (or pets) riding in golf carts while the owner is playing, or practicing, golf.

- Walking or strolling is not allowed on the golf courses, or cart paths, at any time.

Security is now patrolling the golf courses to ensure that these rules are enforced. Residents found in violation are subject to fines.

Sun City Shadow Hills Drought Measures Featured in Desert Sun

As most of our residents are most probably aware, California is facing the worst drought on record. Residents of the Coachella Valley have been mandated to reduce water usage by 36% -- to not do so could result in restrictive meters being placed on offending resident's homes.

Our HOA has begun to take measures to assist in the reduction of water usage. Last year, your Board elected to reduce water usage on our golf courses  by 185,000 gallons by not overseeding the roughs.

We've also begun to replace turf with drought resistant materials throughout the community and as  result received a story in the Desert Sun.

April Update: Strategic Plan Info from Joan Dzuro

On Friday, April 24, our Community Strategic Plan Committee that I Chair, held the second in a series of study sessions.

We need to remain competitive as a community to ensure our property values remain high. With demographic changes in our population, our community will have changing needs. We will need to address the effects of the drought, and to look at our infrastructure to name a couple of issues. The Strategic Plan Committee is responsible for determining what we want and is best for our community in the next 3, 5 and even 10 years.

Many of the Advisory Committees have already begun to work on the strategic plan from their respective areas of expertise: Landscape is looking at our long term physical appearance; Golf is looking at the long term plans for the golf course; Information is looking at new ways of reaching all of our residents and Facilities is looking at our physical facilities.

We want as much resident input as we can get. Please submit any suggestions to president@scshca.com and attend the upcoming meeting.

The meeting was held Friday April 24 at 1 PM in the Montecito Clubhouse Ballroom.

April 20-22 : Jefferson Construction Work

On the nights of April 20, 21 and 22, the I-10 / Jefferson Street Interchange Project contractor will be hauling excavated material out of the I-10 median and delivering pile driving material and equipment into the construction zone.

This work will require the closure of the number 1 and 2 lanes on EB I-10 at Jefferson Street. The closures will take place all three nights between the hours of 10:00 PM and 6:00 AM.

No detour is required for these closures.

Coachella Valley Told To Reduce Water Usage by 36%

As part of the plan to survive the worst drought in recorded history, the State of California has mandated that the Coachella Valley cut water usage by 36%

The average Californian uses 196 gallons of water each day.

Camino Cantos to be Closed to Through Traffic April 19

As part of the Indio Water Authority’s ongoing chromium 6 treatment, they are planning to begin construction on Well 13A (located on Camino Cantos) Monday April 19th,  at 8:00 AM.

Specifically, the construction team will remove Chlorine and Electrical equipment paving the way for a chromium 6 treatment facility outside the community.

Camino Cantos will be closed to through traffic. Residents on Camino Cantos will have access to their homes 24 hours a day.

Club Presidents — Reminder to File Mandatory Financial Reports by this Friday

In order to allow our clubs to continue to use the HOA EIN Number, our outside independent auditor is requiring that our community clubs change how they report to the HOA.  The auditor is requiring that our clubs report on finances for the calendar year -- January through December. This new reporting requirement is effective now and clubs will need to get the new financial reports in by April 24.

If you don't submit this new calendar year financial report by April 24, 2015 -- unfortunately, your club will have to get their own EIN number or face being shut down. As of Tuesday, April 21 -- 18 clubs have not yet turned in the required forms.

Your club will derive your new report from the following:

  1. Your financials for July 1st  2014 through December 31st 2014
  2. Your financials from Jan 1st 2014 through June 30th  2014

As you can see -- combined -- this report will provide us with your club financials for the calendar year for 2014.

You will need to use the new form (click on the link below to obtain the new form) for the new calendar year report.

This is the only way the HOA can allow clubs to use the associations EIN number. If you do not use the Association's EIN number, your club will have to get one of its own or face being shut down.

Your Associations auditor needs to report the clubs income for 2014 -- so we need to have this new calendar year financial reports in the HOA office by no later than April 24.
